How to send a couple their balance payment link
When a couple is ready to pay the rest of their coordination fee, you can send them a private payment link right from your website. They click it, pay with their card, and the money goes to the same place your $100 deposits already go. The whole thing takes about five minutes.
Before you start, have these three things handy
- Your website login (the same one you use to check orders)
- The exact dollar amount the couple owes
- The couple’s name and email address
Sign in to your website
Open your web browser and go to ceremonyoflove.com/wp-admin (type it into the long bar at the very top of the browser window and press Enter). Sign in with your usual username and password.
Open your Orders page
On the left side of the screen there is a dark menu. Find the word WooCommerce and click it. A small list appears next to it. Click Orders.
Your screen colors may look slightly different. That’s okay, the words are in the same places.
Start a new order
At the top of the Orders page, click the button that says Add order.
Add the couple’s name and email
On the new order page, look for the word Billing. Right next to it is a tiny pencil ✏️. Click the pencil, then fill in the couple’s first name, last name, and email address. You can leave everything else blank.
This matters because it’s how the website emails them a receipt automatically after they pay.
Enter the amount they owe
Scroll down a little until you see a light gray box with a button that says Add item(s). Click it, and a few new buttons appear. Click the one that says Add fee.
A small window pops up asking for the amount. Type the number the couple owes, for example 1400 (no dollar sign, no commas), and click OK.
Name it, then create the order
The amount now appears as a new line with an empty name box. Click inside that box and type a short description so you always know what this payment was for. A good pattern:

Now find the box near the top right of the page and click the blue Create button. The page will refresh, and your order is saved.
Copy the payment link
After the page refreshes, look near the top of the order, just under the order number and date. You’ll see a small link that says Customer payment page →. That link is what the couple needs.
To copy it: click the link once. Your browser will open the payment page (this is safe, you’re just looking at what the couple will see). Then click once inside the long address bar at the very top of your browser, so the whole address turns blue, and press ⌘ C on a Mac or Ctrl C on Windows. The link is now copied.
Send it to the couple
Open a new email (or text message), paste the link by pressing ⌘ V on a Mac or Ctrl V on Windows, and send it. Feel free to copy this wording:
How do I know they paid?
Two ways, and you don’t have to do anything for either one:
1. You’ll get the same “new order” email you already get when someone pays a deposit.
2. On your Orders page, the order’s status pill changes from Pending payment to Processing. Once you’ve confirmed everything, you can open the order, change the status to Completed, and click Update. (Or leave it, nothing breaks either way.)
Oops, I typed the wrong amount
No harm done, as long as the couple hasn’t paid yet. Don’t try to fix the order. Instead:
1. Open the order, change the status to Cancelled, and click Update.
2. Start fresh from Step 3 with the right amount, and send the couple the new link.
